Hawaii Wedding Event Planning and Coordinator Services

If you are planning a beach wedding or vow renewal ceremony following our procedures to secure our services, you will not need additional planning and coordination services. Generally, even if you use a private estate or other venue, you will not need additional planning or coordination for your ceremony.

If you want something other than what we provide or suggest or if you need help and advice in finding and selecting a hotel, church, or private estate for your ceremony and/or reception, this is not included in our package prices and will be additional. This is what you would pay a Planner/Coordinator for. Additionally, if you want to coordinate everything with one contact person versus communicating with any number of site managers, hotel personnel, etc., or if you need wedding day on-site coordination for other than what we provide for or for reception venues and services, you may want a Planner/Coordinator to help you.

What we do:

We take the "work" out of this time-consuming and and sometimes frustrating process. We can do most everything for you and you only have to deal with us instead of multiple vendors (except where the location requires your participation). It's just like our ceremony services... no worries, no stress, all you have to do is show up :)

We can provide our vendors and service professionals for your reception and because we only use our AHW approved vendors, you can be assurred of the highest quality work and products. We can help you at any time in the process outlined below, whether you are in the beginning stages or already have a site in mind or already reserved.

Our Event Planner/Coordinators have planned and coordinated events of the smallest size and up to 500+ people for personal and corporate events. We know which venues will be appropriate for your reception and what's realistic given your budget, saving you time and frustration.

IMPORTANT: We only provide and coordinate AHW approved vendors for your services. If you are wanting to select your own vendors (which we already offer through our services as shown on our Order Form) or expecting a list of vendors for you to select from (except for caterers, restaurants, and hotel and private site venues) and want our Planner/Coordinator to coordinate those non-AHW vendors, traditional rates will apply.

FREE

Call us and we'll give you some advice on where to look and what may work for your wedding and reception event.

LEVEL 1

We'll make suggestions of possible venues, make contact with managers, check upon availability, collect prices, and other pertinent information for up to 5 sites of your choice. Have phone consultations with you regarding those sites and options. Have a contract prepared for your review from up to 3 sites of your choice.

  • $200 - Ceremony venues. Not required for our public beach locations.
  • $200 - Reception venues, including hotels and private estate sites.

FYI: You can also do this directly on your own and start instead with Level 2 or 3 services. We suggest you make restaurant reservations directly.

LEVEL 2

If you are overwhelmed with communications, correspondence, and coordination with your contracted sites, we can do this up to the event day on your behalf. We will also keep our AHW vendors updated if required.

  • $300 - Ceremony locations. (Normally, once you have a site booked, this is not required).
  • $300 - Reception locations, caterers, restaurants.

LEVEL 3 - Options

Wedding day coordination. This is not required for our beach weddings. Generally, for all other weddings our vendors do not need direction though if you are having special requirements or need help with diorection of your family or guests, you may consider these services.

  • $300 - Ceremony coordination for from up to 2 hour before ceremony to coordinate with site managers, special set-up requirements, and AHW vendors to end of ceremony.
  • $300 - Reception coordination with site managers, special set-up requirements, and AHW vendors up to start of dinner service. If desired, $100 per hour thereafter.
